Supervisor Toolkit

APPA’s Supervisor’s ToolKit, exploring the “Nuts and Bolts of Facilities Supervision,” is designed and developed for the purpose of training and developing supervisors and managers in the Facilities environment at member institutions.

This unique program is a minimum 32-hour, seven-module set developed for groups of 25-40 people tailored specifically toward the education facilities professional and taught by Master and qualified trainers. ToolKit sessions will run Saturday through Tuesday (October 28-31) during ERAPPA 2017. Participants are provided an official Toolkit Participant Guide and additional handouts from which they work during the training and take back for reference. Key elements covered include:

Module 1: Supervision, What Is It? Learn to define effective facilities supervision; identify the roles and responsibilities of supervisors; and understand four key functions of supervision.

Module 2: It's More Than "Adminis-trivia." Learn to understand the supervisor's role in administering organizational policy and procedures; recognize the legal considerations in the facilities environment; and gain an awareness of resource management.

Module 3: Communication, Let's Talk! Identify barriers to effective communication; demonstrate communication skills; and understand your role in the communication process.

Module 4: If It Weren't for the People. Understand the importance of developing and maintaining effective relationships with others in the workplace; examine the different types of relationships that exist in the workplace; and identify strategies and skills for improving relationships with others.

Module 5: Motivation and Performance. Identify methods of training and developing employees; ascertain methods of positive reinforcement; and understand the importance of performance management and evaluation.

Module 6: Customer Service Triangle. Learn to create a basic understanding of the three major aspects of customer service process, experience, and recovery; examine the role of the supervisor in customer service; and help participants identify areas for improvement in service delivery in their organizations.

Module 7: Leadership-Tools for success. Master techniques to understand critical elements of leadership; transition from managing, to managing and leading; and understand your own preferred leadership style.

Certificates of completion as well as 3.0 continuing education units (CEUs) are provided by APPA for each participant completing at least 32 hours of the training program.

Attendees will be included in the midst of the ERAPPA 2017 conference at the Omni Shoreham and invited to attend/register for all conference events taking place around their class schedule.

Track 1: Making Facility Condition Assessments Matter

Three facility professionals from different facets of the Smithsonian Institution organization will detail their facility condition assessment process. This includes: how field and desk audit assessments are conducted, what the information means to us and our stakeholders, and how the information is useful in developing requirements and projects. The session will focus two main benefits of the process. First, how it acts as a tool easily assess risks to produce prioritized project needs. Second, how it creates a smooth transition with a defined, continuous and traceable path.

Track 2: The Immersive Classroom: Prodigy of Innovation in Higher Education

With time comes age; every higher education campus faces the challenge of how to address aging infrastructure, and in particular classrooms that are worn, outdated and no longer support current teaching pedagogies. This session will explore the agitators, needs, challenges, planning for, and benefits of converting these outdated classrooms into Full Immersion Classrooms. Whether the distance between the classrooms is less than a mile (a building or two away), 200 miles (for a campus in a nearby city), or 7,000 miles (for a west coast campus), each attendee has the experience of being in the same room as the professor and classmates. This session will provide invaluable insights into these topics, as well as, attendees are invited to participate in the discussion by sharing their experiences and goals with under-served classrooms on their campuses.

Track 3: Drinking Water Mitigation at an Urban University

In an effort to ensure safe drinking water for the university community, the New Jersey Institute of Technology (NJIT) initiated a campus-wide drinking water sampling and mitigation program. This program has been a collaborative effort between the Facilities Services Department and the Environmental Health and Safety Department. In response to analytical results obtained from the certified laboratory, NJIT initiated a drinking water mitigation plan that focused on            timely and transparent communication with the university community; posting of signs when required; and additional sampling and analysis. The session will describe fully all mitigation activities required, based on the interpretation of sampling data.

Track 4: Algonquin College Campus Transformation Journey

Five years ago, Alqonquin College had aspirations about transforming their campus while struggling with deferred maintenance and unfunded sustainability goals. This session will explore the college's Campus Transformation journey involving Siemens partnership, technology innovation (including a diverse microgrid), environmental stewardship and sustainability education.
 
Track 5: Planning and Design Considerations for Effective Business Incubators

Business incubators are increasingly seen as an effective way to build upon the research and entrepreneurship at our colleges and universities. These facilities provide vital start up space for those looking to build businesses based on ideas developed within the university setting. The design of an incubator space must take into account a complex number of factors impacting the long-term success of the facility. This session will review key components in the planning and design of incubator space using the recently completed Southern Tier High Technology Incubator as a case study. The Southern Tier High Technology Incubator is a new 36,000 square foot incubation associated with both Binghamton University and SUNY Broome.

APPA developed the Thought Leaders Series to conduct dedicated discussions on the future of higher education and the impact of that future on educational facilities. This session will explore the recent TLS 2017 and what it means to the industry and our institutions.

Track 2: Document Management: The Monumental Task of Digitizing the Facilities Plan Room

Track 3: Innovative Solutions In Energy Conservation and Efficiency at AU

Challenged with exponential campus growth and achieving carbon neutrality by 2020, American University implemented innovative systems approaches that saved energy and reduced operation and maintenance costs for both new and existing HVAC systems.

This was achieved by working with product manufactures and in-house controls personnel to develop innovative solutions for control of new and existing heating and cooling systems that are both energy and operationally efficient.

Track 5: Research Based Flooring Life Cycle Costing Analysis

Our approach for a flooring surface in the higher education environment needs to meet the expectations of students, but also the expectations of the facilities department. This session will explore the journey that Salisbury University has taken to create a highly effective student experience while reducing water usage and cost in flooring.

During this double session, a panel of facilities professionals will offer their advice on what actions and preparations attendees can take to pursue progressive career paths in the profession. Questions related to education, professional development, leadership development, credentialing, APPA engagement, networking, working across organizational boundaries, serving leadership and colleagues, and other career building topics will be covered. All attendees should be prepared to engage in active conversation.

Track 2: Mobile Work Management

Taking lessons from previous failed attempts to establish a mobile solution for work management, Carnegie Mellon University has successfully operated mobile work management for the past two years. This session will give useful insight into challenges faced and decisions that had to be addressed to make it work.

Track 4: Reaching Out to Build Up!

Facilities organizations are at the heart of any enterprise and the more stakeholders understand the critical work performed by the FM team, the more likely we are to be viewed as a partner. Many organizations take the FM team for granted. However, stakeholders may not understand the complexities of the FM responsibilities and we may contribute to their lack of understanding. We need to reach stakeholders in multiple ways that clearly demonstrate the value and importance of the FM team. This session will highlight a number of Smithsonian FM outreach activities, events and strategies that have helped us present our story.

Track 5: Developing the Capital Plan is Only Half the Battle

Aging buildings and infrastructure, growing backlogs of deferred maintenance and limited capital and operational funds, these are trends that have affected colleges and universities across the country since the recession of 2008. This session will give attendees practical solutions to implement as they develop and articulate their capital plans. First, drawing from a database of over 450 colleges and universities, Sightlines will detail national trends in capital investment and highlight some key challenges in the planning process. Then an institution that has had success in this area, the Pennsylvania State University, will give practical tips for developing sounds capital plan and winning approval.

Fitness expert and motivator Richard R. “Rick” Bradley, III, is the creator of the Quick Fit exercise program and the author of the Quick Fit: The Complete 15-Minute, No-Sweat Workout book (Simon & Schuster, 2004) and DVD. Rick was the Director of the Occupational Health and Fitness Program at the U.S. Department of Transportation for 27 years. Under his leadership, program participation has been three times higher than the national average for workplace fitness centers: a result of Rick’s unique ability to communicate, educate, and motivate.

Track 1: Partnership Success Story with a Facilities Condition Assessment

Miss Hall's School (MHS) partnered with StudioJAED in 2015 to conduct a comprehensive Facilities Condition Assessment. This session will share the process MHS and StudioJAED followed to such success. It is a FCA that is widely used and regularly referenced and it is understood by entire Board of Trustees. Learn how the FCA has been turned into "living documents.

Track 2: Fall Protection: How to Procure and Maintain Effective Solutions

Selecting and implementing fall protection solutions are the most visible aspects of a fall protection program. They are also the most costly. Organizations can easily sacrifice time, money, safety and productivity by implementing the wrong solutions. Many organizations do not document, maintain and track their fall protection solutions effectively to maximize their return on investment. This session will convey best practices to help get what is needed to protect workers at heights including the best solution for all stakeholders, as well as documentation and tracking options to maintain the systems.  

Track 3: Powering Your Future: Expanding Your Utilities to Meet The Needs of a Growing Campus

Montclair State University has a sustained an aggressive record of renovation and construction of its facilities to support its expanding community. In 2009 the University performed an analysis of its potential options to upgrade its aging utility infrastructure. The University chose to completely replace the CO-gen facility with a tri-gen facility and replace the entire distribution system.

In 2016 a conceptual design and energy analysis was performed to determine the feasibility and benefit of additional generation for load shedding. The plan set out to create a robust utility infrastructure that allowed the University to operate without any connection to local utility providers. The concept of creating we now call the Montclair State University Micro-Grid.

Track 5: Surface Refinishing: The Innovative Time and Money Saving Alternative to Capital Replacement

Professional surface refinishing is an innovative solution that eliminates the need for costly capital replacement of leaking shower pans, ugly tile, laminate countertops, bathtubs, and even concrete floors. It allows facility managers to overcome the monumental challenge to meet time and cost limitations during peak renovation periods. The faster turnaround allowed NJIT residence halls to be put back in service faster in order to generate revenue from summer programs. Maintenance costs are also reduced as a professionally refinished surface is easier to clean, and the permanently sealed grout prevents the growth of mold and mildew. Attendees will receive case studies, see a leaking shower pan demonstration and will be given before and after tile samples.

Track 1: Emerging Professionals & Succession Planning

Research indicates that 86% of Facilities Managers will be retiring in the next 10 – 15 years and 67% do not feel that young Facilities Managers are ready to take their place. This session will explore the true story of a Senior Facilities Officer (SFO) investing in an Emerging Professional (EP) at the University of Hartford and the EP taking advantage of presented opportunities to grow and develop, as well as steps you can take to help bridge the gap at your institution from both ends of the facilities career spectrum.


Track 2: Small Steps - The Journey from Reactive to Proactive Maintenance

In an effort to transition from a reactive to a proactive maintenance organization, small methodic steps can be the best approach. University of Maryland is using five representative buildings (off-campus laboratory, performing arts center, older academic, research, and new research and tech academic) to test and pilot new processes and technologies to implement a scheduled maintenance capability. The intent is to grow PM super user advocates and provide a proof of concept to senior leaders. The program is divided into elements for asset management, work management, training and implementation, reporting and analysis, and quality assurance. The pilot program is showing success with employee buy-in, resource usage and cultural change management.

Today, the flooring industry now has the most comprehensive and robust executive summary introduced in 2017. This session will focus on how a Higher Education Custodial Operation can use measurable KPIs to motivate and retain supervisors. Innovative tools such as an easy-to-use dashboard help supervisors promote best practices and evaluate their own performance by measuring 5 Key Performance Indicators. This session will also address challenges such as buy-in and job satisfaction, as well as the use of technology to enhance performance.

Track 4: Lessons Learned Managing Large-Scale Construction and Demolition Projects

Wheaton College had two major projects on its calendar for 2016: an installation of two solar fields and the demolition of its wastewater treatment plant (WWTP). Wheaton leased two large parcels of land to an energy company to develop two solar energy fields. A contingency that came with this project was the required cleanup of debris, tires, old vehicles, drums and asbestos-containing materials. The aging infrastructure associated with the WWTP was in need of major upgrades and the costs to repair and continue to operate had exceeded the costs to connect to the local sewer system. Hear from the school EHS Director as he explains how they overcame demolition surprises and other obstacles to get the projects completed.

Track 5: Developing an Energy Strategy for Sustainability & Resiliency to Meet Future Campus Infrastructure Needs

In June 2016, Swarthmore College partnered with The Stone House Group (SHG) to achieve four key institutional goals. To achieve Swarthmore's goals, Swarthmore and SHG began conducting several overlapping studies that analyzed current campus infrastructure, current campus deferred/cycle/modernization maintenance needs and energy projects that would assist SHG in making recommendations for upgrades to meet future needs of the College in a sustainable manner.

Storytelling is intuitive to many but how could you become great at it to make compelling arguments, resonate and be a memorable influencer? This highly interactive double session builds on ERAPPA 2016's and will utilize a workshop atmosphere to jointly develop your storytelling skills to elevate the impact of your delivery and success. In this collaborative session, attendees will create and rehearse tangible ideas that can implemented immediately.


Track 2: Capital Idea Harvests Monumental Rewards:
A Transformation Journey with American University Arboretum and Gardens

What began in 1996 as a much needed beautification program has led to the entire 84 acre campus of american University being an accredited and award winning arboretum and gardens. An incredible transformation has taken place which provides a strong example of implementing a vision through smart planning and use of resources. The campus is a model of how to manage an urban landscape in a very sustainable way. The arboretum is encouraging interactions between faculty and staff and is increasingly being used by faculty as a resource for experiential learning across all disciplines. This session tour will leave attendees inspired and thinking of ways they can use the information presented on their own campuses.

Track 3: Increasing Campus Revenue Streams through Creative Asset Renewal Planning

Educational facilities across North America are aiming to reduce both energy spend and GHG emissions, with targets ranging from 10%-50% by 2030, 2025, or even 2020. At the same time, financial constraints appear to limit possibilities. This session will evaluate planning, implementation, and financing of an innovative, deep energy retrofit with a successful financial structure that helped one university achieve its immediate goals and invest in its future.

Track 4: From Concept to Completion: Repurposing a Warehouse                                                                                                    
Presenters: Mary Grace Simcox, Pennsylvania College of Health Sciences|Deborah Knast, Stantec

This session will follow PCHS, an Allied Health Sciences College, through its transformative campus relocation to an existing corporate office building and adjoining manufacturing warehouse facility. A fast-track schedule was developed that included a strategic campus master plan, interior fit out documentation, furniture specification, extensive site work and construction. Key challenges of an alternative project delivery and how it affected the design process will also be discussed.

Track 5: Why You Need To Fake It Before You Make It

What do the world's most successful individuals possess that allows them to be so influential? The secret involves a strong unbending belief in themselves that makes room for learning through failure and knowing that authenticity or being your "authentic self" is not always the answer. This session will help you learn through examples of others and show valuable tips that can be incorporated into your career path today.
